We attach great importance to the privacy of participants in our trips and volunteer work, as well as visitors to our website, and therefore exercise the utmost care in handling and protecting personal data. We process data in accordance with the conditions set out in the General Data Protection Regulation (GDPR).
The power of sports is the controller within the meaning of the GDPR with regard to the processing of your personal data. This means that we alone determine which personal data is processed, for what purpose, and in what manner. We are responsible for ensuring that your personal data is processed in a proper and careful manner in accordance with the GDPR. In this privacy statement, we explain which data we process and for what purposes it is used.
Personal data we process
The power of sports processes your personal data because you use our services and/or because you provide this data to us. Below is an overview of the personal data we process:
- Registration details: Your first and last name, gender, address, email address, phone number, date of birth, occupation, education, your motivation for participating in our trips or volunteer work, expectations, interests, previous experiences, other preferences, purchase of additional services, and your IP address to prevent SPAM;
- Payment details: Details of payments to and from you, and details of services you have purchased from us via the webshop or after bank transfer;
- Identification details: For the organization of trips and volunteer work, such as when booking and/or checking in for flights, additional personal data is required, such as your passport or ID card details, including the number and expiration date of your passport or ID card.
Special and/or sensitive personal data we process
The power of sports processes the following special and/or sensitive personal data about you:
- Health data: Providing your dietary needs or restrictions, as well as any allergies, medical, or physical conditions, is important for responsible participation in our trips or volunteer work.
Our website and/or service does not intend to collect data about website visitors under the age of 16 unless they have parental or guardian consent. However, we cannot verify whether a visitor is older than 16. We recommend that parents be involved in their children’s online activities to prevent data from being collected about children without parental consent. If you are convinced that we have collected personal data about a minor without such consent, please contact us at info@thepowerofsports.co.uk so we can delete this information.
For what purpose and on what basis we process personal data
The power of sports processes your personal data for the following purposes:
- Organizing trips;
- Informing trip participants via the Travefy travel app;
- Facilitating volunteer work;
- Processing your payment;
- Sending our newsletter;
- Being able to contact you;
- The power of sports also processes personal data if we are legally obliged to do so.
Automated decision-making
The power of sports does not make decisions based solely on automated processing that can have (significant) consequences for individuals. These are decisions made by computer programs or systems without human intervention.
How long we retain personal data
The power of sports does not retain your personal data longer than strictly necessary to achieve the purposes for which your data is collected. The statutory retention periods serve as the guideline. When it comes to personal data of participants in our trips and volunteer work, we apply a retention period of up to 1 year after the end of the relevant activity, unless this conflicts with the statutory retention period.
Sharing personal data with third parties
The power of sports does not sell your data to third parties and only provides it if necessary for the execution of our agreement with you to organize trips or volunteer work or to comply with a legal obligation. With companies that process your data on our behalf, we enter into a processor agreement to ensure the same level of security and confidentiality of your data. The power of sports remains responsible for these processes. Additionally, the power of sports only shares the strictly necessary personal data with other third parties for the execution of our agreement with you to organize trips or volunteer work, such as booking flights, transportation, accommodations, excursions, etc.
Cookies or similar techniques we use
The power of sports uses cookies. A cookie is a small text file that is stored on your computer, tablet, or smartphone when you first visit this website.
The cookies we use are necessary for the technical operation of the website and your ease of use. They ensure that the website functions properly and, for example, remember your preferences. We also use them to optimize our website.

How we secure personal data
The power of sports takes the protection of your data seriously and takes appropriate measures to prevent misuse, loss, unauthorized access, unwanted disclosure, and unauthorized changes.
All personal data is securely stored in the power of sports’ administration. Data is only accessible to board members and staff of the power of sports, insofar as this is necessary for their duties.

Access, modify or delete data
You have the right to view, correct, or delete your personal data. Additionally, you have the right to withdraw your consent to the data processing or object to the processing of your personal data by the power of sports, and you have the right to data portability. This means that you can submit a request to us to send the personal data we hold about you in a computer file to you or another organization you specify.
You can send a request for access, correction, deletion, data transfer of your personal data, or a request to withdraw your consent or object to the processing of your personal data to info@thepowerofsports.co.uk
To ensure that the request for access is made by you, we ask that you send a copy of your ID with the request. In this copy, make your passport photo, MRZ (machine-readable zone, the strip of numbers at the bottom of the passport), passport number, and Citizen Service Number (BSN) black. This is to protect your privacy. We will respond to your request as quickly as possible, but within four weeks.
