Terms and conditions – The Power of Sports – version 3-1-2026

  1. General

The Power of Sports organises sporting, educational and social activities and trips at home and abroad. Participation is only possible if the participant agrees to these terms and conditions and the code of conduct. The code of conduct has been added to the terms and conditions as a clause. By taking part, the participant declares to have read them and to comply with them.
These terms apply to all participants, including group leaders, members of the organisation, interns and volunteers.

The Power of Sports meets the legally required guarantee through VZR Garant, insofar as this applies to the offer concerned. In the event of financial insolvency of The Power of Sports, the participant can contact VZR Garant.

  1. Registration and participation

For volunteering and internships, the agreement is concluded once the registration form has been fully completed and submitted via https://www.thepowerofsports.co.uk/welcome-packs/. For trips and group trips, the agreement is concluded by accepting the quote or booking confirmation.

For participants under 18, the registration must be made by a parent or legal guardian. By making this registration, the parent or legal guardian gives permission for participation and declares on behalf of the minor that they agree to these terms and conditions and the code of conduct for volunteers of The Power of Sports.

The registration is final and can only be changed with the written permission of The Power of Sports.

  1. Prices and quotes

For volunteering and internships, the price shown on the website at the time of registration applies.
For group trips, the price stated on the quote or invoice applies. This may be adjusted in the event of changes in transport, taxes, levies or exchange rates, provided this is communicated to the participant reasonably and in good time.

Quotes for tailor made trips are valid for five days, unless stated otherwise.

  1. Payment

The full participant fee must be paid no later than one month before departure. If payment is not received, The Power of Sports may cancel participation. Amounts already paid will not be refunded, unless agreed otherwise in writing.

  1. Cancellation, changes and force majeure

In the event of cancellation, early termination, a later start or withdrawal from participation by the participant, the full participant fee remains payable. The Power of Sports recommends taking out cancellation insurance.

If The Power of Sports cancels an activity or trip, the amounts paid will be refunded, less transaction costs. In the event of force majeure, The Power of Sports may change or cancel activities or trips without compensation. Force majeure includes any circumstance beyond the control of The Power of Sports, such as natural disasters, pandemics, political unrest, war, strikes, government measures or failure of means of transport.

  1. Insurance, health and liability

Participation takes place with due regard to the participant’s own responsibility. Before the start and throughout the activity or trip, the participant must have valid health insurance and travel insurance with sufficient cover for medical costs, repatriation, accidents and liability. For activities abroad, the participant must also have a valid EHIC or GHIC, where applicable. Insurance details must be provided on registration. If they are missing, participation may be refused or ended without a right to a refund, insofar as permitted by law.

The Power of Sports organises its activities carefully and works with local partners. These partners are responsible for their own work and have business liability insurance (with the exception of Curaçao). The Power of Sports has business liability insurance that provides cover in the Kingdom of the Netherlands and abroad.

Medical costs, illness, injury and accidents are at the participant’s expense, unless directly caused by an attributable failure of The Power of Sports or its partners. The Power of Sports does not provide medical care itself.

The Power of Sports is not liable for loss, theft or damage to personal belongings, nor for damage resulting from the participant’s own actions or negligence, except in the case of intent or gross negligence on the part of The Power of Sports.

If The Power of Sports is liable, this liability is limited to the amount paid out by its business liability insurance in the case concerned.

  1. Travel documents and practical obligations

The participant is responsible for holding valid travel documents and for providing correct details of them in good time.
Incorrect or late submission may lead to extra costs or exclusion from participation without a right to a refund, insofar as permitted by law.

  1. Photos, video and communication

Photos and video may be taken during activities and trips for promotional and communication purposes. By taking part, the participant gives permission, unless an objection has been made in advance. The footage remains the property of The Power of Sports.

  1. Complaints

The Power of Sports handles complaints within a reasonable period and aims to find a suitable solution.
The Power of Sports provides a confidential adviser you can turn to with questions or concerns about safety, behaviour or personal situations.

  1. Final provisions

All activities, trips and agreements are governed by the law of the Kingdom of the Netherlands.
Disputes are preferably resolved by mutual agreement or through mediation. If this is not possible, disputes will be submitted to the competent court in the Kingdom of the Netherlands.

 

Code of conduct – volunteers and interns

Project: The Power of Sports

As a volunteer or intern with The Power of Sports, you help create a safe, respectful and positive environment for everyone involved in the project. This short code of conduct describes what is expected of you.

1. Respect and behaviour

  • Treat all participants, colleagues, volunteers and interns with dignity and respect.
  • Discrimination, intimidation, bullying, abuse or any form of inappropriate or transgressive behaviour will not be tolerated.
  • Always contribute to a safe, inclusive and supportive environment, and outside project activities too, show respect for local culture, norms and customs by avoiding behaviour or expressions that could be experienced as offensive, disrespectful or inappropriate in the local context.


2. Professionalism and integrity

  • Act honestly, responsibly and professionally.
  • Do not misuse your position, information or project resources for personal gain.
  • Follow the instructions and guidelines of project coordinators where necessary, when they relate to safety, cooperation or the reputation of the project.
  • Offering or accepting inappropriate gifts or other unlawful benefits is prohibited.

3. Laws, rules and safeguarding

  • Do not transport children, either in your own vehicle or in a taxi. The local team will organise transport.
  • Do not provide medical assistance beyond your own competence. In the event of an injury or accident, contact the local coach or coordinator immediately.
  • Comply with all applicable local laws and project rules.
  • Respect all safety, health and safeguarding regulations, including child protection policies where applicable.
  • Respect the house rules of accommodation and partner organisations, follow coordinators’ instructions regarding safety, wellbeing and regulations, and be aware of your role as a representative of the project during your stay and activities.

4. Use of property and resources

  • Handle project and partner property, facilities and materials with care.
  • Use these resources only for legitimate project related purposes.

5. Communication and cooperation

  • Work constructively and respectfully with fellow volunteers, interns, staff and partners.
  • Communicate openly, honestly and professionally in all project related situations, both during and outside working hours when it concerns the project.
  • Respect agreed schedules, working arrangements and responsibilities.
  • Report concerns, incidents or suspected misconduct to your supervisor or project coordinator as soon as possible.
  • Inform your supervisor in good time in case of illness, delay or absence, and always agree changes in planning or attendance in advance with the coordinator responsible.
  • Take responsibility for your own wellbeing and consider the safety and wellbeing of others in the project environment.

6. Drugs / alcohol

  • The possession, use, purchase or distribution of illegal drugs or narcotics is strictly prohibited for the entire period you stay with us.
  • Breaking this rule leads to immediate termination of participation and may lead to removal from the project and/or accommodation.
  • You are responsible for complying with local laws on drugs and alcohol, which in some countries may be stricter than in your own country.

7. Sexual contact and transgressive behaviour

  • Sexual harassment and transgressive behaviour are not permitted.
  • Sexual contact with minors is strictly prohibited and leads to immediate termination of participation and possible reporting to the authorities.
  • Sexual contact between volunteers, interns, staff or others involved is discouraged in order to maintain professional boundaries.

8. Conflicts of interest

  • Avoid situations in which personal interests could conflict with your role as a volunteer or intern.
  • Report any actual or potential conflicts of interest to the project coordinator immediately.

9. Compliance

  • Compliance with this code of conduct is a condition of participation as a volunteer or intern.
  • In serious cases, non compliance may lead to immediate termination of participation without a right to a refund.

10. Use of photos and video

  • Photos and videos taken during project activities are the property of The Power of Sports.
  • Volunteers and interns may only use this footage for project related purposes and with the prior permission of the organisation.
  • Sharing photos or videos on social media or other external platforms is only allowed with permission, always respecting the privacy and safety of participants and third parties.
