General
The Power of Sports organizes sports, educational, and social activities and trips both domestically and internationally. Participation is only possible if the participant agrees to these general terms and conditions and the code of conduct. The code of conduct is included as a clause in these general terms. By participating, the participant declares that they have taken note of and will comply with these rules.
These conditions apply to all participants, including supervisors, organizational members, interns, and volunteers.
The Power of Sports complies with legally required guarantees via VZR Garant, insofar as this applies to the specific offer. In case of financial insolvency of The Power of Sports, participants can contact VZR Garant.
Registration and Participation
For volunteering and internships, the agreement is established after fully completing and submitting the registration form via https://www.thepowerofsports.co.uk/welcome-packs/. For trips and group travel, the agreement is established by agreeing to the quote or booking confirmation.
For minor participants, registration must be done by a parent or legal guardian. By registering, the parent or legal guardian gives permission for participation and declares on behalf of the minor that they agree with these general terms and conditions and the code of conduct for volunteers of The Power of Sports.
Registration is final and can only be changed with written permission from The Power of Sports.
Prices and Quotes
For volunteering and internships, the price at the time of registration as stated on the website applies.
For group travel, the price stated on the quote or invoice applies. This can be adjusted in case of changes in transport, taxes, levies, or exchange rates, provided this is communicated reasonably and in a timely manner to the participant.
Custom quotes are valid for five days unless otherwise stated.
Payment
The full participation fee must be paid no later than one month before departure. If payment is not received, The Power of Sports may cancel participation. Amounts already paid are non-refundable unless otherwise agreed in writing.
Cancellation, Changes, and Force Majeure
In case of cancellation, early termination, late start, or complete withdrawal by the participant, the full participation fee remains due. The Power of Sports recommends taking out cancellation insurance.
If The Power of Sports cancels an activity or trip, the paid amounts, minus transaction costs, will be refunded. In case of force majeure, The Power of Sports may modify or cancel activities or trips without compensation. Force majeure includes any circumstance beyond the control of The Power of Sports, such as natural disasters, pandemics, political unrest, war, strikes, government measures, or failure of transport means.
Insurance, Health, and Liability
Participation takes place under the participant’s own responsibility. The participant must have valid health insurance and travel insurance covering medical costs, repatriation, accidents, and liability before and throughout the activity or trip. For international activities, the participant must also have a valid EHIC if applicable. Insurance details must be provided at registration. Lack of these may result in refusal or termination of participation without refund, as far as legally permitted.
The Power of Sports organizes its activities carefully and works with local partners. These partners are responsible for their own operations and have public liability insurance. The Power of Sports also holds public liability insurance that covers activities abroad.
Medical costs, illness, injury, and accidents are the participant’s responsibility unless directly caused by attributable fault of The Power of Sports or its partners. The Power of Sports does not provide medical care itself.
The Power of Sports is not liable for loss, theft, or damage to personal property, nor for damages arising from the participant’s own actions or negligence, except in cases of intent or gross negligence of The Power of Sports.
If The Power of Sports is liable, such liability is limited to the amount paid out by its public liability insurance in the relevant case.
Travel Documents and Practical Obligations
The participant is responsible for having, maintaining, and providing accurate travel documents on time.
Incorrect or late submission may result in additional costs or exclusion from participation without refund, as far as legally permitted.
Visual Material and Communication
During activities and trips, photos and videos may be taken for promotional and communication purposes. By participating, the participant consents unless prior objection is made. The visual material remains the property of The Power of Sports.
Complaints
The Power of Sports handles complaints within a reasonable period and strives for an appropriate solution.
A confidential advisor is available for questions or concerns regarding safety, behavior, or personal situations.
Final Provisions
Dutch law applies to all activities, trips, and agreements.
Disputes are preferably resolved through mutual consultation or mediation. If this is not possible, disputes are submitted to the competent court in the Netherlands.

As a volunteer or intern at The Power of Sports, you contribute to a safe, respectful, and positive environment for everyone involved in the project. This brief Code of Conduct describes what is expected of you.
Respect and Behavior

Treat all participants, colleagues, volunteers, and interns with dignity and respect.

Discrimination, intimidation, bullying, abuse, or any form of inappropriate or boundary-crossing behavior is not tolerated.

Always contribute to a safe, inclusive, and supportive environment, even outside project activities if relevant.
Professionalism and Integrity

Act honestly, responsibly, and professionally.

Do not misuse your position, information, or project resources for personal gain.

Offering or accepting inappropriate gifts or other unlawful benefits is prohibited.
Laws, Rules, and Protection

Comply with all applicable local laws and project rules.

Respect all safety, health, and protection regulations, including child protection policies where applicable.
Use of Property and Resources

Treat project and partner property, facilities, and materials with care.

Use these resources only for legitimate project-related purposes.
Communication and Collaboration

Work constructively and collaboratively with fellow volunteers, interns, staff, and partners.

Communicate openly, honestly, and respectfully.

Report concerns, incidents, or suspected misconduct to your supervisor or project coordinator.
Attendance and Wellbeing

Respect agreed schedules and commitments.

Inform your supervisor as soon as possible in case of illness or absence.

Take responsibility for your own wellbeing and that of others.
Conflict of Interest

Avoid situations where personal interests may conflict with your role as a volunteer or intern.

Report any actual or potential conflicts of interest immediately to the project coordinator.
Compliance

Compliance with this Code of Conduct is a condition for participation as a volunteer or intern.

Non-compliance may result in disciplinary measures, including temporary suspension or termination of the role.
Use of Photo and Video Material

Photos and videos taken during project activities are the property of The Power of Sports.

Volunteers and interns may only use these images for project-related purposes and with prior permission from the organization.

Sharing photos or videos on social media or other external platforms is only allowed with permission, ensuring the privacy and safety of participants and third parties at all times.
